About the product

The new software has been designed to streamline the University of Sheffield’s business continuity process, making it easier to find, share and review vital information about your arrangements.

It replaces the existing Google Doc Business Continuity Plans, meaning all plans will now be created, reviewed and updated digitally within a single, shared platform.

The system is built on the same platform as the Incident Management system. If you are already familiar with (and have access to) that system, you will notice additional modules displayed on the left-hand side when you log in. The software has been developed by ISARR, which has worked in partnership with the University of Sheffield for many years.

The Business Continuity platform includes a range of role-based guides to help you navigate the system. Some guidance will appear automatically depending on your actions, and all guides can be accessed via the GUIDE button. There is no formal training for the software, as the built-in guidance is designed to support you throughout; however, the Business Continuity team is available if you need further assistance.

The system uses Single Sign-On (SSO), so if you are already signed in to your University account, selecting the URL will open the system directly. When you first access the system, please bookmark the page, as the link will not be available on MUSE.

Due to the complexity of permissions and data protection requirements, the system is not accessible to everyone across the University. As a user, you will only be able to view Business Continuity plans for which you have been granted permission, ensuring compliance with Data Protection and GDPR requirements.

Roles & responsibilities

You may already be familiar with your previous role; however, with the new system, it is essential that all names and roles are recorded accurately. Incorrect details may prevent you from accessing or carrying out certain actions within the system. Initially, the system will only contain the names and email addresses of Plan Coordinators, Deputies and HoDs/HoSs.

This table outlines what each role can and cannot do or view within the system. Access can be requested for yourself or on behalf of others, provided the request relates to a member of your own department, team or school. All access requests should be submitted via the Topdesk form [add link].


Incident Contacts System

The new Business Continuity (BC) software does not replace the Incident Contacts System. The Incident Contacts System continues to store and manage the contact details required by the Control Room during an incident.

While this may change in the future, the Incident Contacts System is still used for emergency notifications. The Security Team will continue to rely on the Control Room contact lists provided by your teams or schools.

Departmental contact lists are intended for internal use only, and you are welcome to continue using them. Please ensure that all names and contact details within the Incident Contacts System remain accurate and up to date.

The new BC software does include sections where contact details can be recorded; however, these do not function in the same way as departmental lists within the Incident Contacts System.

During this transition period, you are encouraged to upload your new Business Continuity Plan (BCP) to the Incident Contacts System as a backup. This will no longer be required once the new system is fully adopted across all departments and schools.
