Your data

When you register to attend our events, you will be required to provide us with some personal information (such as name and email). We need this to process your  registration. 

The information collected on registration forms will be used solely for the purposes of administering event attendance. It will be shared with Symphony, whose software we are using for our registration forms and to collect the data, but it will not be shared with any other third parties, and it will only be kept for as long as necessary in accordance with the University's Retention Schedule. Our lawful basis for processing this data is UK GDPR Article 6(1)(e): public task.  Our lawful basis for processing special category data (i.e. data about your accessibility requirements) is UK GDPR Article 9(2)(g): substantial public interest, and our condition in law is our statutory obligation under the Equality Act 2010 to make reasonable adjustments.

Cancellation or postponement of the event

The University may cancel, delay, or postpone public events due to circumstances beyond its control or where events can no longer reasonably or safely take place.

In the event of any postponement or cancellation, we will communicate this clearly and contact attendees with as much notice as is reasonably practical.  

The University will not be liable for any costs incurred by attendees due to postponement or cancellation of an event. This includes, but is not limited to, travel, accommodation and subsistence costs or any loss of business or earnings.  

In the event of cancellation by an attendee the fees (if applicable) paid to participate in the event will be refunded in accordance with the following terms:

  • Cancellations received up to (and including) 10 days prior to the event will be refunded in full
  • For cancellations received less than 10 days before the event there will be no refund
